VISA Information

This page provides essential information to help you navigate through the visa application process for attending IEEE CSR conference. It is recommended that you:

  • Apply early. Visa processing times can vary considerably, so it is advisable to apply as early as possible to avoid delays.
  • Check requirements. Ensure you have all required documents and information before submitting your application.
  • Follow up. Keep track of your application’s status and be ready to provide further information if requested by authorities.

Process Description


Step 1: Determine if you need a visa

Before proceeding with your travel arrangements, please check if a visa is required for visiting the country where the conference will be held:

Step 2: Pay conference registration fees

Ensure that you have completed your conference registration fees payment; it is an IEEE policy to only issue a visa letter of invitation to committee members, speakers, authors, and attendees that have paid in full.

Step 3: Download visa letter

Once registration fee payment has been processed, the official visa letter of invitation can be downloaded from the conference management system as follows:

  1. Click on the link “Download/Print Invitation Letter”.
  2. Choose your details from the list and then click the Print button.
  3. Click the save link and save the letter to your device.

Step 4: Prepare and submit visa application

Information on the documents required for your visa application should be obtained from the embassy/consulate of the country where the IEEE CSR conference will be held, in your home country; these typically include:

  • A valid passport.
  • The visa letter of invitation from the conference.
  • A completed visa application form.
  • Proof of accommodation and travel plans.
  • Possibly others.

  • IEEE CSR will issue a visa letter of invitation to participants; however, it is their sole responsibility to obtain other documents that might be required.
  • IEEE CSR will not refund participants for cancellations due to visa rejections or inability to enter the country.
  • IEEE CSR cannot change the decision of any country’s embassy/consulate, nor will IEEE CSR appeal to the embassy/consulate on behalf of the applicant.
  • IEEE CSR will not be liable for any direct, indirect, or consequential loss or damage arising from, or in connection with, the information provided herein.
